How the calculation works

This calculator is for QA managers and quality teams who prepare inspection records for customer, registrar/certification, regulatory, or internal audits. It estimates the internal labor spent getting ready — not the audit itself.

Prep hours per audit = people involved × (hours gathering records and evidence + hours finding and fixing record gaps + hours assembling the evidence package). Prep cost per audit = prep hours × fully loaded hourly labor cost. Annual figures = per-audit figures × audits per year.

It deliberately leaves out audit fees, time spent with the auditor on audit days, the cost of findings or corrective actions, and lost production — those vary too much to estimate from a few inputs, so the result is a conservative, prep-only figure.

Realistic example

A plant with 6 audits a year has 3 people help prepare for each one. Each person spends about 8 hours gathering inspection records and evidence, 5 hours chasing and fixing gaps, and 4 hours assembling the evidence package.
