How the calculation works
This calculator adds up two sources of record-retrieval time: the normal time spent locating a record, and the extra time spent when a record turns out to be genuinely hard to find.
Expected extra minutes per request = hard-to-find rate × extra minutes when hard to find. Monthly retrieval hours = requests per month × (baseline search minutes + expected extra minutes) ÷ 60. Monthly retrieval cost = monthly retrieval hours × your fully loaded hourly rate.
This is an expected-value estimate, not a claim that every request is hard to find — only the share you tell it to assume adds extra time.
Realistic example
A QA team fielding 25 record retrieval requests a month, spending 10 minutes on a typical search, with 20% of requests turning into a hard-to-find search that adds 30 extra minutes, at a $35/hour fully loaded labor rate, works out to roughly 6.7 hours of record retrieval every month — about $233/month, or $2,800/year — just to answer "can you pull that record?"
